Job Description
The Admissions Athletic Liaison (AAL) is the central point of contact for international or domestic new student athletes at the residential campus and ensures the successful start for all incoming student athletes. The AAL is a partner with the admissions representative(s) and is a liaison on campus for prospective student athletes and their families.  The AAL oversees the new student athlete enrollment experience by communicating with and assisting both the Athletic and Admissions Departments through the coordination of campus visits, new student orientations, and related activities. 
Responsibilities: (This list represents, but is not inclusive of all related responsibilities an employee may be required to perform.) The Admissions Athletic Liaison will:
  • Work at assigned campus location.
  • Provide consistent and seamless communication between coaches, admissions representatives and potential student athletes.
  • Have regular communication with admissions representatives regarding student athletes the coaches are working with.
  • Be present at all admissions events to support incoming athletes and their families.
  • Work closely with the admissions representatives on their portfolio of student athletes to ensure new student activities are met, including Orientation.
  • Plan, lead, and be present at those events organized for prospective student athletes.
  • Greet and welcome incoming student athletes at Orientations; assist with preplanning RE credit (practice time) into schedules prior to arrival.
  • Conduct a separate Orientation (immediately following the send-off of the traditional Orientation) with parents and incoming student athletes covering final requirements for smooth transition into the athletic school year (NCAA eligibility requirements, physicals, etc.).
  • If necessary, follow up with prospective student athletes and families to ensure admissions requirements/documents are on file and accurately completed; NLI documents, updated original transcript, diploma copy, health insurance, housing (if applicable), deposits and/ or first semester payment, etc. 
  • Coordinate campus visits/tours if student athletes and/or families visit campus. Prepare student arrival package and oversee other logistics to ensure are prospective athletes are well informed and feel very welcome if necessary.
  • Work with departments such as financial aid, business office, student services and housing on behalf of incoming student athletes if necessary.
  • Be accountable for new student athlete enrollments by working with admissions representatives on their portfolio of students.
  • Provide weekly reports on potential student athletes to the Director of Admissions.
  • Ensure that the coach’s information that is entered into the CRM is accurate, relevant, and timely. Information should be input within 24-48 hours of each meeting.
  • Work with the Director of Admissions to develop consistent language to be used in the CRM to clarify status of potential student athletes.
  • Assist Athletics with the processing of NLIs, specifically the coordination of uploading the signed documents into the University system (ex. DRI data, ImageNow, NCAA site).
  • Develop a working understanding of the NCAA Bylaws.
  • Develop a full understanding of the NLI process as it relates to athletic aid promised to the prospective student athlete as well as rules regarding the announcements of the signing.
  • Assist with the coding of student-athletes in Datatel to ensure student-athletes are properly coded and tracked.
  • Work with the various coaching staffs to ensure all paperwork is complete before National Letters of Intent and/or Financial Aid Agreements can be issued.
  • Help the various coaching staffs identify prospective student-athletes that had not been previously on their radar (For Example: Those who set-up a campus visit and request to meet with the coach).
  • Bachelor’s Degree preferably in Business, Marketing or related area.
  • Working knowledge of student portfolios.
  • Sensitivity to and appreciation for diverse cultures.
  • Highly detail and goal orientated.
  • Excellent oral, written and presentation skills.
  • Valid driver’s license at time of hire and maintain valid driver’s license while employed.
  • Excellent interpersonal and customer service skills, including projecting a positive attitude and friendly manner while working with prospective student and families.
  • Willingness and ability to work irregular hours, including some weekends which are required during heavy enrollment cycles and willing to accommodate international or domestic students’ needs, as determined reasonable.
  • Skilled in using an integrated Customer Relations Management system (prefer Recruiter 2.5 Datatel), MS office suite, Social Media (Twitter, Facebook, LinkedIn, etc.) and other recruitment software.
  • Valid Passport, if required to travel internationally.
  • Previous related experience preferred.
